If an RME has been scheduled for your agency, please prepare by having the following materials available:

  • Copy of the Injury and Illness Prevention Program
  • Copy of the employee manual / handbook
  • Copies of existing occupational safety and health policies, programs and related training documentation
  • Copies of liability waiver forms used by the Recreation Department for the use of facilities and for program participants as well as a recent Recreation Program catalog
  • Engineering requirements for streets and sidewalks
  • Copies of several types of contracts, including contracts in the following areas: public works (street maintenance, tree trimming), redevelopment or community development (agreements with or sale of land to developers), professional services, facility joint use agreement, and (if applicable) a mutual aid agreement (between your agency another public safety agency).
  • Map of the agency's boundaries showing parks, trails, roads, and agency-owned facilities

If possible, please arrange a meeting between the Authority's Risk Consultant and employees that represent the following departments:

  • City Manager / Executive Director
  • Human Resources
  • City Clerk
  • Public Works
  • Parks and Recreation
  • Police
  • Fire

During the meeting the Risk Consultant will explain the scope and focus of the evaluation, answer initial questions, and organize a time schedule for walk-through of the various departments at your agency. If a meeting with all departments is not possible, please arrange for one-on-one meetings with the department director or a designee who can answer questions for the department.

The RME is a personalized inventory of the issues each member faces and is designed to help Authority members identify potential liability, property and workers' compensation issues on an individual basis. Recommendations made will assist members in taking risk control, risk avoidance or risk transfer actions to limit future losses. The RME is a proactive service provided by the Authority and is not linked to the members' primary deposit.
